Jo&Co cut audit prep from 2 hours to 3 seconds
Jo&Co is a recruitment consultancy in Germany that places candidates under government-regulated programs. Their team was buried in manual processes — registering a new client took 15 minutes of clicking through cluttered screens, and preparing inspection documents meant hours of compiling Word files into PDFs. We built a focused CRM that stripped away the clutter and automated compliance paperwork. Registration now takes 3 minutes, audit documents generate instantly, and the team handles more clients with less stress.
The challenge
Jo&Co places candidates under government-regulated programs in Germany. Every placement comes with paperwork the authorities can inspect at any time, and every client session has to be documented in a prescribed format. The team was doing all of it inside a legacy tool that had grown far beyond what they actually used.
Four problems came up in the first discovery call:
- Slow first contact. Registering a new client meant 10 to 15 minutes of clicking through screens full of fields nobody filled in. New clients sat and waited while a consultant fought the software.
- Missed required information. Session forms buried the mandatory fields among optional ones, so corrections were frequent and each one cost another round of edits.
- A single-manager bottleneck. Only the person who created a record could edit it. When that consultant was out, the record was frozen.
- Manual audit preparation. For each inspection, documentation was compiled by hand in Word and exported to PDF, client by client. One to two hours per client, every time.
None of this was a lack of effort. The tool simply did not match the way a small, regulated recruitment consultancy works day to day.
What we built
We replaced the legacy tool with a focused CRM in under three weeks: two days of discovery on site, twelve days of development, three days of acceptance testing, and go-live the same week.
- One-page registration. A new client is registered on a single screen with sensible defaults. Required fields are validated before saving, so a record cannot be created with gaps that would surface later during an audit.
- Instant search and filters. Consultants find a client by language skills, experience level, or program in seconds instead of scrolling through lists.
- Everything on one profile. Sessions, notes, and generated documents live on one client page. No more jumping between tabs to piece a history together.
- Shared editing rights. Any authorized manager can correct or complete a record. Role-based access keeps the audit trail intact while removing the single-person dependency.
- One-click compliance PDFs. The documentation form produces authority-compliant PDFs directly from the data already in the system. What used to take two hours of copy-and-paste now takes about three seconds.
- Zero training. The interface was designed with the consultants who use it. Staff started working in it on launch day without a manual.
The system is hosted in Frankfurt, with encrypted daily backups and a data processing agreement (AVV) in place, which matters for a business handling personal data under German and EU rules.
Results
Measured during the first month after launch, the consultants save around 39 working hours a month on registration, document generation, and re-entry. More importantly, inspection requests stopped being a scramble. The documents exist the moment a session is saved, and anyone on the team can produce them.
