Most small businesses do not have a CRM problem. They have a "the client data is in five places" problem. Contact details live in an inbox, quotes in a folder of Word files, the status of each case in someone's head, and the reminders on sticky notes. A generic CRM subscription rarely fixes this, because it was designed for a sales pipeline that does not look like yours.
We build custom CRM systems for small and medium businesses in Germany, Austria, Switzerland, Poland and the United States. Each one is shaped around your actual workflow, so your team stops adapting to software and the software starts doing the repetitive work for them.
What a custom CRM from Coding Moose includes
Every CRM project starts from the same foundation and is then tailored to your process:
- One client record per client. Contact details, history, documents, notes and open tasks on a single screen, searchable by anything that matters to you: language, skills, contract type, region.
- Quotes and invoices in minutes. Templates that pull client data in automatically, produce a PDF, and log it against the record. No copy and paste between systems.
- Follow-ups with reminders. Every case has a next step and a due date. The person responsible gets a reminder; managers see what is overdue.
- Roles and permissions. Staff see what they need, owners see everything, and sensitive fields stay restricted.
- Import of your existing data. Spreadsheets, Excel exports or a previous CRM, mapped and checked before go-live.
Optional add-ons include one-click generation of compliance or audit documents, task boards, e-mail and calendar integration, and a customer portal where clients can upload documents themselves. You can see the full breakdown of what is included and what costs extra on our solutions and pricing page.
When a custom CRM pays off
Off-the-shelf tools are the right choice for many companies, and we say so when it is true. A custom CRM is worth the investment when one or more of these apply:
- Your process is regulated or industry-specific. Recruitment under government programs, legal, healthcare, construction, training providers: the documents, deadlines and statuses are specific, and forcing them into generic "deals" and "stages" creates errors.
- Documents are the bottleneck. If staff spend hours each week assembling PDFs, contracts or reports from client data, generating them from the CRM removes that work entirely.
- You pay per seat for features nobody uses. Ten users on a mid-tier subscription cost more over three years than a focused system you own outright.
- Two or three tools need to be stitched together. A custom system replaces the spreadsheet, the shared inbox and the reminder app with one place.
A real example: Jo&Co Recruitment
Jo&Co is a recruitment consultancy in Germany that places candidates under government-regulated programs. Registering a new client took 15 minutes of clicking through cluttered screens, and preparing documents for an inspection meant hours of compiling Word files into PDFs.
We built a focused CRM in three weeks. Registration now takes three minutes, audit documents generate in about three seconds, and the team saves roughly 39 staff hours every month. Read the full story in the Jo&Co case study.
How a CRM project runs
We keep the process short and predictable, because you have a business to run.
- Discovery call (free). Thirty minutes to understand what slows your team down today. We tell you honestly whether a custom build makes sense.
- Planning workshop. We map your client lifecycle, the documents you produce and who needs to see what. You get a written scope, a fixed price and a timeline.
- Build in weekly iterations. You see a working version every week and can correct course early. Your real data goes in during development, not after.
- Testing, launch and handover. We deploy to your hosting, train your team and hand over the source code and documentation.
- Support when you want it. Optional maintenance packages cover updates, fixes and new features. You are never locked in.
Technology and hosting
We build CRMs with React, Next.js, TypeScript, Node.js and PostgreSQL, hosted on AWS in EU data centres. Those choices are boring on purpose: they are stable, widely known, and easy for any developer to maintain in three years. Hosting for a typical small-business CRM costs a few dollars a month, and you hold the account.
Pricing and timeline
Custom CRM projects start at €6,900 excluding VAT and take one to two months. The price includes design, development, testing, deployment and full source code handover; hosting and domain are separate, and we help you choose the cheapest setup that fits. Combining a CRM with workflow automation or a reporting dashboard in one project usually earns a discount. Compare all options on the pricing page, or tell us about your process and we will send a written scope and quote within a few days.
