Online Booking System Development

Let customers book appointments, tables, rooms or services on your own website, with automatic confirmations, reminders and no double bookings.

Every phone call to take a booking is a few minutes of staff time, and every booking request that arrives after hours or during a rush is a customer you might lose. An online booking system on your own website turns that into a self-service flow: the customer picks a slot, gets a confirmation, receives a reminder, and your calendar stays conflict-free without anyone touching it.

Coding Moose builds custom booking and scheduling systems for small and medium businesses in the DACH region, Poland and the United States: clinics and practices, salons and studios, restaurants, workshops, rental companies, consultants and training providers.

What the booking system does

The core system, included in the starting price, covers the full booking lifecycle:

  • Self-service booking on your site. Customers choose a service, a staff member or resource if relevant, and a free slot. The flow is mobile-first, fast and matches your brand.
  • Automatic confirmations and reminders. Confirmation e-mails go out instantly; reminders are sent before the appointment on the schedule you choose, which cuts no-shows noticeably.
  • No double bookings. Availability is computed from working hours, existing bookings, buffers and blocked times, so two customers can never claim the same slot.
  • Buffer and blocked times. Preparation time between appointments, lunch breaks, holidays and one-off closures are all respected automatically.
  • An admin view for your team. A calendar and list of upcoming bookings, with the ability to add, move or cancel bookings by hand when a customer calls.

Popular add-ons include an embeddable widget for other websites, confirmation and reminder flows by SMS, calendar synchronisation with Google or Microsoft 365 plus a daily schedule e-mail, and deposits or prepayment. Details are on the pricing page.

Who a custom booking system is for

Ready-made scheduling tools work well for a single calendar with simple rules. We recommend a custom build when:

  1. You manage several resources at once. Staff, rooms, tables, equipment or vehicles that all have to be free for one booking.
  2. Your rules are specific. Minimum notice periods, packages of sessions, group bookings, seasonal hours, different durations per staff member, or deposits for some services and not others.
  3. The booking flow should feel like part of your site, not a redirect to a third-party page with someone else's branding.
  4. You want to own it. No monthly per-seat subscription, no commission on bookings, and the customer data stays in your system.

The Place, a restaurant and cake business in Poland, was managing orders and pickup times through Instagram messages and phone calls, with slots being missed during busy hours. We built an ordering system with delivery and pickup scheduling, Apple Pay, Google Pay and BLIK payments, and an admin panel for the team. Order handling went from up to 15 minutes to under 30 seconds and the business captures about 30% more orders because customers can book their slot at any hour. The same scheduling engine powers our booking systems. Read the The Place case study.

What your customers see

The booking flow is three steps on a phone: choose the service, pick a time from the slots that are actually free, and confirm with a name and contact details. Returning customers are recognised so they do not retype anything. The confirmation e-mail carries a calendar file and a link to reschedule or cancel within your rules, and the reminder arrives at the time you choose. Nothing about the flow reminds them of a third-party tool; it is your site, your colours and your wording.

How the project runs

  1. Discovery call. Thirty free minutes on how bookings work today: services, staff, resources, rules and the tools you already use.
  2. Planning workshop. We define the services, the availability rules, the notifications and any integrations, and you receive a written scope with a fixed price and a timeline.
  3. Build with weekly demos. You test the booking flow with real services and hours during development, so the launch version already fits.
  4. Launch, training and handover. We deploy the system, embed it in your site, train your team and hand over the source code.
  5. Optional maintenance. Updates, changes to rules and new features when you need them, with no lock-in.

Technology

Booking systems are built with React, Next.js, TypeScript, Node.js and PostgreSQL and hosted on AWS in EU data centres, in an account that belongs to you. Payments run through Stripe or a local provider such as Przelewy24 or BLIK in Poland. The system is designed to be fast on mobile, accessible by keyboard and screen reader, and GDPR-friendly, with customer data stored in the EU.

Pricing and timeline

Booking and scheduling systems start at €3,900 excluding VAT and usually go live within a month. The price includes design, development, testing, deployment and source code handover; hosting and domain are separate and cost a few dollars a month. Many clients combine the booking system with a custom CRM so bookings, client history and invoices live in one place, which typically earns a discount.
